TLDR: I helped a music agency turn their messy internal tool into a functioning SaaS rebuilding it piece by piece collaborating with developers, that helped them reduce 90% of their steps and get 350% increase in revenue.

Project Problems
Team had an internal tool they’ve built for themselves that started as a simple database for clients, turned into simple analytics overview to full-blown software that has features nobody remembers how they work but they know it was really useful at the time.
Since they’ve build it by needs they have, it doesn’t have a nice structure and with time, it just became a complex tool you have to have a cheat sheet to understand what you need to click to get something. Now, they’ve figured this is a solid tool to help other agencies in their industry and they can easily sell it as a SaaS do what it did for them, in a very specific, expert way. With that, they will be their first clients so we will be able to test it out internally! 🙂
My approach
My approach to solving this problem was first, getting to know the tool and identifying all the features they have and together with the team, see what are the core features and if we want to change their functionality or structure.
Then, piece by piece - I rebuilt the features and gave clear handoffs to developers to work on fragmentally while the product is still live and functioning (they had few partners already using it for their agencies but like 3 teams outside of their team). This way, we are not losing money or time from the software, we’re just improving it as it goes.
Together with dev team, we decided to use Radix UI that gives you a skeleton of all the frontend components and I was able to do the UI based on their branding and inspiration. We’ve build it modern, elegant and dark mode so it’s a good base for personalization of themes later on.

After the redesign of core features was done, we had time to build new features like a proposal builder and automated tasks that honestly, made me feel like a mad scientist because of the complexity of the feature and simple way I redid it in (design thinking ftw).
Business Results
With all that built, my client (their own clients) saw 90% reduced steps, 60% faster proposals and 350% increase in revenue. They also had a clear software they can build on top whenever they like and no structural and UX bugs that make everyone feel like they need to figure out a workaround.
